IT Service Portfolio Coordinator

On behalf of our client, we are looking for a detail-oriented and proactive IT Service Portfolio Coordinator to support the development and ongoing maintenance of a comprehensive IT Service Product Portfolio on SharePoint.

In this role, you will be responsible for coordinating portfolio-related activities across Technology and Product Management teams, ensuring high-quality documentation, structured content management, and accurate service portfolio governance. Acting as a central point of contact between stakeholders, you will help drive the successful maintenance and continuous improvement of the IT service catalogue while ensuring consistency, transparency, and operational efficiency.

Key Responsibilities

Stakeholder Coordination & Data Collection

• Collaborate with Technology and Product Management teams to gather information for new and existing services.
• Follow up with subject matter experts to ensure timely delivery of portfolio content.
• Coordinate review cycles, approvals, and sign-off processes for service documentation.
• Track outstanding actions and escalate blockers when necessary.
• Act as the primary point of contact for portfolio-related information requests.

Template Population & Documentation

• Create and maintain service descriptions using standardized templates, including service scope, benefits, SLAs, and technical information.
• Develop customer-facing success stories based on input from project teams and stakeholders.
• Ensure all documentation meets quality, consistency, and branding standards.
• Continuously improve templates and documentation processes together with Product Management teams.

Progress Tracking & Task Coordination

• Monitor portfolio build-out progress using SharePoint and Excel-based tracking tools.
• Coordinate activities across multiple stakeholders, ensuring clear ownership and deadlines.
• Prepare regular status reports highlighting progress, risks, and next steps.
• Identify opportunities to improve documentation and content management processes.

SharePoint Administration & Content Management

• Maintain and administer the ICT Service Product Portfolio within SharePoint.
• Manage SharePoint sites, lists, libraries, pages, and content structures.
• Apply and maintain metadata standards, naming conventions, and folder structures.
• Monitor portfolio content quality, completeness, and accuracy.
• Configure permissions, access rights, and content approval workflows.

Requirements

• Bachelor's degree or equivalent professional experience.
• 2+ years of experience in content management, portfolio coordination, administration, or a similar role within an IT or technology-driven environment.
• Proven experience working with SharePoint administration, including lists, libraries, and content management.
• Excellent written and verbal English communication skills (C1 level or higher).
• Strong organizational skills with exceptional attention to detail.
• Ability to manage multiple stakeholders, priorities, and deadlines simultaneously.
• Experience working with structured documentation and template-based content creation.

Advantageous

• Familiarity with ICT products, managed services, or service portfolio environments.
• Knowledge of service management frameworks such as ITIL.
• Previous experience in project coordination or PMO activities.
• German language skills.
• Experience with Microsoft Teams and Power Automate.
• Advanced proficiency in Microsoft Excel, Word, and PowerPoint.
